Pre Party Phone Call

What to talk to the client about in your pre-party phone call

  • Obviously introduce yourself (but don't tell them you are new).
     

  • Go through details on the calendar, in terms of time, venue, number of children etc. Explain that you will aim to be there 20-30 mins beforehand to get set up. Reassure them that it only takes 10 minutes and so you will be ready to start on time.
     

  • Clarify that you have a parking space (this is part of the booking contract - if there are any parking fees to pay, then this has to be covered by the client on the day directly with you).
     

  • If there are more than 35 children, we only offer balloon models as prizes due to the time involved.
     

  • Check pronunciation of Birthday child's name (they get offended if you say it wrong).
     

  • Explain format of show, starting with magic show, balloon modelling will be done during the food break, talk about how/when they want the birthday cake presented, singing happy birthday.
     

  • Ask about special needs (ADHD, autism), allergies etc.
     

  • Ask if they have anything else booked, as in face painter, bouncy castle etc. (This just helps to prepare you for any challenges). Do not be afraid to ask the client to switch the bouncy castle off during the magic show.
     

  • Remember, first impressions last so be bright, confident and fun to put them at ease.
     

  • If there are any issues with the details of the booking, please call the office team between 9.15 am and 4.30pm. We do have an out of hours PA answering service but they can only take messages to pass onto the office team. Any urgent issues, out of hours - please contact Craig and Sarah directly.
